View Guarantor Tracking

You use the View Guarantor Tracking function to display all guarantor tracking records for a guarantor. If the PiMS Grouped Guarantor option is used by the facility, then one guarantor tracking record represents all accounts the guarantor is responsible for. The account number will appear as “**GROUPED**”. Tracking records are listed in follow-up date order, and display regardless of whether the tracking record is currently on a worklist or waiting for a follow-up date.

The View Guarantor Tracking function allows an employee access to a tracking record even when the record is not on that employee’s worklist. For example, if an employee handles a telephone call from a guarantor or insurance company and the guarantor tracking record is not on his worklist, the function allows that employee to record any activity or notes on the account.

To view guarantor tracking by guarantor ID number:

  1. Select View Guarantor Tracking from the Guarantor menu.

  2. Enter the guarantor ID number of the guarantor. Press Enter or click OK for a display of tracked guarantor records.

To record an activity:

  1. Select the appropriate guarantor tracking record. Press Enter or click OK.

  2. The View Guarantor Tracking By Guarantor ID/Activity screen displays. Enter the activity code which best describes the action that has occurred or that should take place.

  3. Press Enter or click OK for a display of the default days to follow-up that are associated with the activity code. The numeric value in the Days to Follow-Up field can be overridden.

  4. Enter any additional notes regarding the activity in the Second Line of Notes field. These notes are posted for viewing in the View Account Notes function.

  5. Check that the information is correct and press Enter or click OK.
