You use the Add Alternate Billing function to create an alternate
billing account for either specified service dates or the entire span
of the account. Alternate billing accounts are used in special cases
where selected (by service date) charges have to be grouped
differently.
Only unbilled charges can be moved to an alternate account. Both accounts must previously exist before the function can be performed.
The “To” account will contain all moved charges while the “From”
account retains copies of those moved charges. As new charges are
posted to the account, the account is checked for an alternate billing
account. If alternate billing does exist and the service date of the
charge falls within the alternate billing account’s date range, the
charge is moved to the alternate billing account.
To add an alternate billing account:

Select Add Alternate Billing from the Account/Alternate Billing menu.

The Add Alternate Billing screen displays.

Enter the “From” account number (unbilled charges to be moved)
and the “To” account number (the new alternate billing account to
receive charges). Press Enter or click OK to display pertinent account
information and verify for accuracy.

Click the Span Account box if all unbilled charges should be
moved to the “To” account. If the box is left blank, then the Service
From - To fields, which specifies the date range of unbilled charges
that will be moved to the alternate account, must have dates entered.

Check that the information is correct and press Enter or click OK.

The function View Account Notes will post a note on both
accounts, ‘Alternate billing number added Fr: (account number)’ and
‘Alternate billing number added To (account number)’. If the note
states “All”, the entire date span of the account was alternate billed.
If the note states “Service”, a specific date range was entered for the
alternate billing period.

Alternate billing charges can be viewed in the function View
Charges for an Account. The “From” account will display an “A” (Audit)
in the charge status column and an “F” in the A (Alternate Account)
column. The “To” account will display a “U” in the charge status column
and a “T” (Transferred) in the A (Alternate Account) column.
