Transfer Charges

You use the Transfer Charges function to transfer charges from one account to another. The transfer can be made at any time; both billed and unbilled charges can be transferred. If billed charges are transferred, they are transferred to the “To” account as unbilled. Transferred charges would be considered late charges only if the “To” account has been final billed. This function will not transfer charges that have alternate billing accounts in which charges have been flagged as audit charges.

If claims have not been formatted on the "To" account, the moved charges will be included in the claim formatting process. If the claim has been formatted, you must reformat the claim on the "To" account in order to include the transferred charges. If the claim has been final billed, you must either rebill or bill the late charge(s) as a supplemental bill.

Charges that are transferred from an account create credits in the "From" account. If the charges had a billed status, you must use the Bill Account function for the "From" account in order to balance the "From" account. There is the option for the PiMS Cycle Manager to manage the late charge credits automatically.

To transfer charges:

  1. Select Transfer Charges from the Charges menu.

  2. Enter the “From” account number and the “To” account number. Press Enter or click OK. The Transfer Charges screen displays demographic information and total charges for each account.

  3. If ALL charges are to be transferred, click on the Transfer All Charges box. Press enter to transfer all charges.

  4. If only a selected charge is to be transferred, leave the Transfer All Charges box blank. Press Enter or click OK for a listing of charges in service date order.

  5. Select the charge you want to transfer. The charge to be transferred must fall within the open and close dates of the transfer "To" account.

  6. Press Enter or click OK to transfer the charge. Repeat the process for each additional charge that needs to be transferred.

  7. A note will be posted to both accounts regarding the transfer which can be seen in the function View Account Notes.

  8. Charges that have been transferred from the “From” account will be flagged as an “F” in the View Charges for Account function under the column heading “T”. Charges that have been transferred to the “To” account will be flagged as a “T” in the View Charges for Account function under the column heading “T”.
