View Appointment History

The Appointment History function is used to view and update information about inactive appointments for a patient over a period of time. An inactive appointment is one that is in the past. No future scheduled appointments are displayed in appointment history. 

The following appointment status are displayed to provide the types of inactive appointments:

CN - Appointment is cancelled

CO - Appointment is completed and checked out

LW - Appointment is checked-in, but not checked out, patient left without being seen

NS - Patient did not show

PR - Pending reschedule, the appointment is on the reschedule list

RS - Appointment has been rescheduled.

If an appointment is not checked in on the day of the appointment, the system will change the status from SC, scheduled to NS at midnight.  If in fact the patient did not show up for the appointment, leave the status as NS. This gives an accurate history of the appointment. However, if the check-in was an oversight, change the status by entering the check-in date and time and if the patient was seen, enter the check-out date and time and the status will show as a completed appointment instead of a no show.

On the day of the appointment, if an appointment has been checked in but not checked out, at midnight the system will change the status from CI to LW.  However, if the check-out was an oversight, then enter the check-out date and time and the status will show as a completed appointment instead of a no show.

General appointment information remains in the appointment history indefinitely. Detailed information only remains in the appointment history for a period of time specified by your site.

To view appointment history:

  1. Select Appointment History from the Views menu.

  2. Select the patient whose appointment history you want to view.

  3. Enter a date range for the appointments you want to see. You can narrow the search by entering a group ID and order profile code. The screen lists the patient’s appointments from the most recent to the oldest appointment.

  4. To view a specific appointment, select the appointment and click OK.

  5. Make any changes to the fields on this screen and press Enter or click OK. Review the information to make sure it is correct, and press Enter.

  6. The next screen shows more history information about the appointment.

  7. Make any changes to the fields on this screen and press Enter or click OK. To change the appointment status, update the Check In Date-Time or Check Out Date-Time fields.

  8. Review the information to make sure it is correct, and press Enter or click OK.
