You use the Add Alternate Patient ID function to add patient IDs for a patient with multiple patient ID's.  Alternate ID's  can be used  to enter ID's for other ancillary systems or databases.  They are used for information only.

To add a patient's alternate patient ID:

  1. Select Add Alternate Patient ID from the Patient menu.
  2. Select the patient for whom you want to add an alternate patient ID. After you select a patient, the screen displays the patients corporate patient and entity.
  3. Enter the alternate patient ID and the alternate entity.
  4. Check that the information is correct and press Enter or click OK.

You use the ID Patient by Alternate ID function to search for a patient using the alternate Patient ID and the alternate entity.

To ID patient by alternate patient ID:

  3. Press Enter or click OK. The patient detail screen is presented, check that the information is correct and continue.

You use the Delete Alternate Patient ID function to delete alternate patient ID's.

To delete a patient's alternate patient ID:

  1. Select Delete Alternate Patient ID from the Patient menu.
  2. Select the patient for whom you want to delete an alternate patient ID. After you select a patient, the screen lists the alternate patient IDs for the selected patient.
  3. Select the alternate patient ID and press Enter or click OK.
  4. The screen presents the alternate patient ID screen. Check that the information is correct and press Enter or click OK to delete the alternate patient ID.

You use the Update Patient function to update demographic information, including the patient's name, birth date, marital status, addresses, and special handling codes. If you update the patient information here, it will also be reflected in the patient registration screen.

 

To enter or update patient demographics:

  1. Enter the patient's name in the Patient Name field. Enter the patient's last name, a comma, and the first name (for example, SMITH, JANE).
  2. Enter the patient's birth date in the DOB field. Enter the date of birth in the MMDDYYYY format with leading zeros for single digit numbers (for example, 06041940 for June 4, 1940).
  3. Enter the patient's social security number in the SSN field. You can use all 9's if you need.
  4. Select M for male, F for female, or U for unknown.
  5. Select the code for the patient's marital status in the Marital Status field.The codes for the marital status are M for married, S for single, D for divorced, P for separated, W for widowed, or U for unknown.
  6. Enter the patient's mailing address in the Mail Address, City, State and Zip fields.
  7. Enter the county in which the patient lives in the County field.
  8. Enter the patient's telephone number in the Telephone fields.
  9. If the mailing and home address are the same, press the Copy Mail Address button.
  10. Enter any other patient information you have.
  11. Check that the information is correct and press Enter or click OK.

You use the Add/Update Patient function to add or update demographic information, including the patient's name, birth date, marital status, addresses, and special handling codes. This function does not  update the registration date. You can add a patient to the system using this function, but the  patient will not be registered. You must use the Registration function.

You use the Add/Update Patient function to update demographic information, including the patient's name, birth date, marital status, addresses, special handling codes, and religion. This is not the registration function, although similar, it is used to update basic patient information.  You can add new patients to the system using this function, but they will not be identified as registered.  A registered patient is one that not only  has patient demographics but also, insurance, referring MD and guarantor which are completed in the registration function.

To begin entering demographics for a new patient:

  1. Select Add/Update Patient from the Patient menu.
  2. Enter information about the patient for whom you want to enter demographics on the Patient Selection screen. The screen lists patients who meet the search criteria you entered.
  3. On the Patient List screen, click on the New button to add a new patient.

You use the View Patient Accounts function to review a list of all accounts for a patient. The accounts are listed beginning with the most recent account. You can refine the search by selecting by patient type or bad debt or exclude any account that is at zero balance.

The detail display for each account is two rows  of information beginning with the account number. The first row also provides the account special handling, account category, financial class, patient status, patient type, discharge date and account balance. The second row begins with the account entity, bad debt indicator, bad debt agency write off code, group account indicator, admit/visit date and third party balance.  If the group account indicator is Y, then guarantor worklists, letters, and financial arrangements are grouped together for followup.  If it is N, then each account is treated as an individual account for all accounts for a guarantor.

To View Patient Accounts:

  1. Click on Patient on the top menu bar.

  2. Click on View Patient Accounts.

  3. Search for the Patient by patient name, patient ID or social security number.

  4. Select the patient and press OK to continue.

  5. The list of accounts display. Highlight the account and select the account to review the detail information.

  6. Press OK or cancel to complete the function.

To enter patient reference information:

  1. Select Add/Update References from the Patient menu.
  2. Select the patient for whom you want to enter references. You enter next-of-kin, legal guardian, and notify information on the Add/Update Patient Reference screen.
  3. Press the Copy Patient Information button to copy in the patient home address, and telephone information. If you need to add the name of the legal guardian, select the More button to enter this information.
  4. Check that the information is correct and press Enter or click OK.

You use the Add/Update Employer function to add employment information for a specific patient.

To enter patient employment information:

  1. Select Add/Update Patient Employer from the Patient menu.
  2. Select the patient for whom you want to enter employers. You enter patient employment information on the Patient Employer screen.
  3. Enter the name of the patient's primary employer in the Name field.
  4. Select the patient's employment status in the Patient Employer Status field. The possible values for the patient's employment status are 1 for employed full-time,2 for employed part-time, 3 for unemployed, 4 for self-employed, 5 for retired, 6 for active military duty, or 9 for unknown.
  5. Enter any other information you have about the patient's employer and occupation.
  6. Check the information on the screen and press Enter or click OK.
