Authorized Members

This Authorization Member profile contains all the authorized members who are allowed to sign on and use PiMS application. For each user you add, you will enter a temporary password for them.  When the user signs on to PiMS the first time, they will use the temporarty password and then be asked to change it to their own personal password.  If they forget their password, you use Reset Password to give them another temporary passward.  They can use Update Password if they want to change their own password after they have signed on to PiMS using their own personal passwaord.

  • Identify all users who need PiMS access
  • Assign a sign on code and temporary password for each user. The code can be up to eight (8) characters in length.

Add an Authorized User

  1. Select Authorization Member from the File menu.
  2. Select Add Authorization Member.
  3. The first screen will display a field to enter the Authorized Member ID. This is a unique sign-on ID for each person. When a user is accessing PiMS, they are asked to enter a sign-on ID and a password. This code length code can be up to 8 characters.Enter the user's sign-on ID in this field.
  4. The authorized member detail screen displays.
  5. Tab to the Last Name to enter the user's last name.
  6. Then tab to the First Name and enter the user's first name.
  7. Tab to the Middle Name and enter the user's middle name (optional).
  8. If the user is a pharmacist and the facility is using PiMS RX then tab to the Initials field and  enter the users initials. 
  9. Enter the staff type (user defined).  Typical staff types include Tech, RN, Biller, Collector, Scheduler, or Pharmacist.
  10. Tab to the Password. Enter a temporary password the user will use for access to access PiMS.  The password must be at least 6 characters in length. Note: the user will be asked to change the password when they sign on for the first time.

11. The Default Entity ID does not need to be changed. This is the ID that associates each user with each entity.  In most cases you will only have one Entity ID.

12.  If you are setting Security Groups, then enter the Security Group  Code. This field can be left blank.

13.  Tab to Desktop ID. Enter user's Desktop ID*. For Hosted Clients - please refer to the Getting Started page to find your Desktop  ID name, it will begin with PIMS followed with 4 additional chacters.

14. Tab to Timeout. Change the Timeout option to the number of minutes to match your privacy/security policy.

15. Leave the Next User ID blank. This is used for guarantor and claim worklisting options when you are needing to reroute a worklist entry.

16. Set the CDM indicators if this user has rights to update and view the Charge Description Master maintenance functions.

17.  Set the Charge Post indicators for your charge posting policy. For automatic charge posting in scheduling, turn the indicators on.  If all of your charges are batched posted, turn the indicators off. 

18.   Select the department appropriate for the user. Click on the plus (+) sign to select from a list of departments.

19.  The Scheduling Group field can be left blank.

20. Select the appropriate Report Security Group which indicates which set of  Real Time Reporting reports the user is allowed to request. Leave blank if the user will not be requesting real time reports.

21. Allow Access to all TP policies - this refers to third party policies for PiMS Billing and Collections.

22.  Press OK to complete adding the user sign-on.

 

Add or Update Security:

    Additional security indicators are updated for other functions in the Add/Update Security function. If you only have one location/one entity, then you do not need to add any additional security for your users.

    1. Select Authorization from the File menu.
    2. Select Add/Update Security.
    3. Enter the user's sign-on in the Authorized Member ID field.
    4. The detail screen displays. Use 99 for both Update and Inquiry Security levels. These security levels map to function security.
    5. Click on the Allow Access to All Visits. This allows a user to select all visit codes.
    6. In the Confidential Name box, click on the Allow to View Patient Name and Allow to View Guarantor Name indicators if you do not want the user to see confidential names.
    7. All other information is optional and does not need to be turned on.
    8.  Press enter or click OK to complete the update.
    9.  Ask the user to verify his/her sign-on and password allows access to PiMS functions.

      Update, View, and Delete Authorized Members:

      Once you have added the user to the system, you can use the additional Authorization functions to update, view and delete the authorized members. The member ID is necessary to access the record for changes for that user.
